When you use our products and services, you’re agreeing to our terms, so please take a few minutes to read over the Terms of Service below.

BOOKING PROCESS

Sobremesa.Institute is not responsible for any fees incurred due to currency exchange or fees charged by your credit card/bank for processing funds in another currency. All immersion prices shown are per person and quoted and payable in EUR.

  • To secure your spot for a Sobremesa.Immersions, a non-refundable deposit of 550 EUR is required. This deposit will be applied toward your total amount.
  • Your reservation is officially confirmed only once we have received this deposit or proof of payment (please note that reservations via email or phone messages are not considered official bookings).
  • For double occupancy bookings, please ensure a deposit of 550 EUR per person.
  • After receiving your deposit, we will reach out to discuss and confirm your payment plan. We offer flexible payment plans in two remaining installments.
  • The remaining balance must be paid no later than 8 weeks before the start of the immersion.
  • If the full payment is not received by this deadline, we will have to make your spot available again and you will forfeit your deposit.

PAYMENT AND SERVICE PROVIDER

Full payment must be made two weeks before the start of your course. Sobremesa.Institute is not responsible for any additional bank fees, interest charges, finance charges, overdraft charges, or other fees.

STRIPE
On our website we use a payment tool by Stripe, an American technology company and online payment service. Stripe Payments Europe (Europe Ltd., 1 Grand Canal Street Lower, Grand Canal Dock, Dublin, Ireland) is responsible for customers within the EU. Therefore, if you choose Stripe as your payment method, your payment will be processed via Stripe Payments. Hence, the data required for the payment process is forwarded to Stripe where it is then stored. In this privacy policy we will give you an overview of Stripe’s data processing and retention. Moreover, we will explain why we use Stripe on our website.
The technology company Stripe offers payment solutions for online payments. Stripe enables us to accept credit and debit card payments in our web while it handles the entire payment process. A major advantage of Stripe is that you never have to leave our website or shop during the payment process. Moreover, payments are processed very quickly via Stripe.

PAYPAL
You can choose to pay using PayPal in our online shop. PayPal is provided by PayPal (Europe) S.à.r.l. & Cie. S.C.A., 22-24 Boulevard Royal, L-2449 Luxembourg. If you select PayPal as your payment method, your personal data will automatically be transmitted to PayPal. PayPal acts as an online payment service provider and payment processing takes place directly with PayPal.We provide PayPal with our Merchant ID so the payment can be transferred to us.

CANCELLATIONS AND REFUND POLICIE

Before signing up, please ensure you can attend, as we cannot offer refunds of any kind for the immersion deposit.

Refunds for the remaining amount depend on when we receive the cancellation:

  • Within 45 days or more before the immersion, 30% of the Full Price will be refunded.
  • Between 45 and 15 days prior to the immersion, 15% of the Full Price will be refunded.
  • Within within 15 days of the immersion, the Full Price is Non-Refundable.

We strongly recommend purchasing Trip Interruption insurance to cover any unforeseen circumstances.

TRAVEL AND HEALTH INSURANCE

The immersion pricing covers costs directly related to the retreat and stated inclusions. Airfares are not included. We are not liable for any consequences arising from travel delays or cancellations. It is your responsibility to obtain all required travel documents, including valid passports, visas, and immunizations.

By participating in the immersion, you agree to do so at your own risk. You must have travel and international medical insurance at the time of booking to cover any unfortunate events while traveling and during the immersion, including medical care and transport home if needed. Insurance is not included in the immersion price.

IN CASE WE MUST CANCEL

If we are unable to host an immersion and we must cancel, we will notify you as soon as possible and you will receive a 100% refund. However Sobremesa.Institute is not accountable for your expenses incurred in preparation for the immersion, such as airline tickets, loss of work, visas fees and/or other costs associated with preparation for your trip.

OUR RIGHTS AS ORGANIZER

Sobremesa.Immersions reserves the right to change the program, partners, teachers or team members at any time. We will try to ensure that the program we have shared with you remains unchanged. Whenever possible, you will be advised in advance of any alterations once booked.

Sobremesa.Immersions reserves the right to remove a participant from the immersion if their behaviour is disruptive. In these circumstances, we will not be liable to pay any refund, compensation, or any expenses incurred by you (including any return travel arrangements).

Sobremesa.Immersions reserves the right to make a guest liable if they cause damage to the venues or belongings.

Sobremesa.Immersions reserves the right to take images and film parts of the program, the footage taken for documenting and further promotion of the retreat will be always discreet. If you do not wish to be on any images used for our promotion please do let us know.

● NO EXCEPTIONS

Exceptions to our policies cannot be made for any reason.

The deposit is non-refundable, as it covers the effort required to find a replacement or the risk of not finding one. Due to non-recoverable payments we must make in advance to secure the retreat, exceptions to our policies cannot be made for any reason, including health conditions, family or work emergencies, bad weather, or change of mind. If you cannot reach the retreat due to unforeseen circumstances such as strikes, weather conditions, or missed, delayed, or canceled flights, the retreat fees remain non-refundable. If you arrive late or need to leave your retreat early, no refund will be given for the remaining time of your scheduled stay.
