Registration Process

To ensure a smooth and effective learning experience, we have established a straightforward registration process for our online courses.

Step 1: Complete the Online Test

  • Purpose: This initial step involves filling out an online test designed to assess your current level of Spanish proficiency.
  • Access: The test can be accessed directly through our website.
  • Guidance: Instructions for completing the test will be provided on the test page.

Step 2: Meeting with Our Academic Coordinator

  • Objective: After completing the test, you will have a meeting with our academic coordinator.
  • Aim: This meeting is crucial to understand your specific learning goals and to establish your exact Spanish level.
  • Arrangement: The meeting will be scheduled at a convenient time for you and will take place via Zoom.

Step 3: Scheduling Your Lessons

  • Flexibility: You will have the opportunity to schedule your lessons at times that best fit your routine.
  • Availability: Lesson times are subject to availability and will be coordinated with our academic coordinator.
  • Confirmation: Once scheduled, you will receive a confirmation email with all the necessary details about your lessons.

IMPORTANT NOTE:
Lessons available from Monday to Thursday.
Schedule the beginning of your lessons between 7:00 AM and 7:00 PM CET.
Each lesson is 90 minute.

Step 4: Commencement of Your Course

  • Timeline: Your course can commence as early as one week following the completion of your registration. Alternatively, you have the flexibility to choose any start date beyond the two-week period that best suits your schedule.
  • Course Access: You will receive access to all necessary course materials and platforms prior to the start of your course.
  • Support: Our support team will be available to assist you with any technical or administrative issues you may encounter.

PAYMENT AND SERVICE PROVIDER

Full payment must be made two weeks before the start of your course. Sobremesa.Institute is not responsible for any additional bank fees, interest charges, finance charges, overdraft charges, or other fees.

STRIPE
On our website we use a payment tool by Stripe, an American technology company and online payment service. Stripe Payments Europe (Europe Ltd., 1 Grand Canal Street Lower, Grand Canal Dock, Dublin, Ireland) is responsible for customers within the EU. Therefore, if you choose Stripe as your payment method, your payment will be processed via Stripe Payments. Hence, the data required for the payment process is forwarded to Stripe where it is then stored. In this privacy policy we will give you an overview of Stripe’s data processing and retention. Moreover, we will explain why we use Stripe on our website.
The technology company Stripe offers payment solutions for online payments. Stripe enables us to accept credit and debit card payments in our web while it handles the entire payment process. A major advantage of Stripe is that you never have to leave our website or shop during the payment process. Moreover, payments are processed very quickly via Stripe.

PAYPAL
You can choose to pay using PayPal in our online shop. PayPal is provided by PayPal (Europe) S.à.r.l. & Cie. S.C.A., 22-24 Boulevard Royal, L-2449 Luxembourg. If you select PayPal as your payment method, your personal data will automatically be transmitted to PayPal. PayPal acts as an online payment service provider and payment processing takes place directly with PayPal.We provide PayPal with our Merchant ID so the payment can be transferred to us.

TIME CHANGES OR CANCELLATIONS

Cancellation and change policy is 24 hours in advance by email. If cancelled or changed within 24 hours before the start of the class, the student will be charged.

Important Note: While we understand that unforeseen circumstances may require you to cancel a scheduled lesson, please be aware that there is a limit to the number of cancellations allowed. Each student is permitted a maximum of cancellations per course.

Our cancellation policy varies depending on the lesson pack you choose. Please be aware of the following maximum cancellation limits:

  • 5 – 15 – Lessons: A maximum of 1 lesson can be cancelled.
  • 15 – 30 – Lessons: A maximum of 2 lessons can be cancelled.
  • 60 – Lessons: A maximum of 4 lessons can be cancelled.

We kindly ask you to reschedule any missed lessons within the same week to ensure continuous progress in your learning journey. Please note that exceeding the allowed number of cancellations per package will result in the loss of the lesson without the option for a refund or rescheduling.

Lessons always start on time. If the student does not turn up after 15 minutes, the lesson will be cancelled and charged without exception.

REFUND POLICIE

At Sobremesa Institute, we understand that plans can change. Our refund policy is designed to be as accommodating as possible while respecting the resources that we allocate for each student upon registration.

Notification Requirement

  • Procedure: If you are unable to or choose not to commence your course for any reason, please notify Sobremesa Institute in writing.
  • Timing: This notification must be sent before the start date of your course.

Refund Tiers Based on Notification Timing

  • More than 30 days before course start: Eligible for a 100% refund of the course fee.
  • 29 to 20 days before course start: Eligible for a 50% refund of the course fee.
  • 19 to 10 days before course start: Eligible for a 25% refund of the course fee.
  • Less than 10 days before course start: Eligible for a 10% refund of the course fee.

Cancellation Fee

  • A cancellation fee of 100€ will be charged for processing the refund.

Processing Time

  • Refunds will be processed and issued within 20 days of receiving your written notification.

Post-Course Start Policy

  • Once the course has commenced, refunds are not available. The full course fee will be forfeited to Sobremesa Institute.

Credit Option

  • Alternative to Refund: Instead of a refund, you may opt for a credit equivalent to the refund amount.
  • Validity: This credit can be applied to any of our services within a 24-month period.
  • Cancellation Fee Waiver: If you choose the credit option, the 100€ cancellation fee is waived.
  • Credit Expiry: Unused credit will be forfeited to Sobremesa Institute after 24 months.

TECHNICAL REQUIREMENTS

To guarantee the best possible learning experience during your online courses at Sobremesa Institute, the following technical requirements are essential:

Broadband Internet Access

  • Necessity: A stable broadband internet connection is crucial to ensure high-quality audio and video during the lessons.
  • Minimum Speed: We recommend a minimum internet speed to support uninterrupted streaming and interaction.

Dealing with Connectivity Issues

  • Audio/Video Quality: In instances of a slow internet connection that affects the quality of audio or video, your teacher may advise turning off the camera.
  • Focus on Audio Quality: This measure is to prioritize clear audio communication, which is essential for effective language learning.
  • Troubleshooting Assistance: Our support team is available to assist with optimizing your setup for the best possible online learning experience.

HOLIDAYS

Sobremesa.Institute observes national holidays in Barcelona. Classes will not be held on these days, and the course duration will be adjusted accordingly.

  • Wednesday, 11 September. Diada (Fiesta Nacional de Cataluña).
  • Tuesday, 24 September. Día de la Mercè.
  • Friday, 1 November. Día de Todos los Santos.
  • Friday, 6 December. Día de la Constitución.
  • Wednesday,, 25 December 2023. Navidad.
  • Thursday, 26 December. San Estevan.

Also, Sobremesa.Institute may observe certain holidays throughout the year. You will be notified in advance of any holidays that may impact your course schedule.
